This story is based on the testimonial the property gave Exceed HMS. Exceed does not publish revenue, occupancy or other performance figures for any client without written consent, so none appear here.

The Challenge

Several properties, unreliable connectivity, and a PMS at each one that talked to nobody

A highway resort group in Assam faces two problems at once. The first is geography: properties spread along the highway, with internet links that drop in the rain and power that is not always there. The second is scale: an owner who manages multiple properties needs one picture of all of them, not a separate login and a separate set of books at each site.

The owner's own description of the situation is direct: "struggling with offline PMS systems". Standalone desktop software at each property kept working when the line dropped, which was the point of it, but it also meant that nothing was visible centrally, that reports had to be collected by phone, and that rates and availability could not be managed across the group.

What Exceed Put in Place

Cloud where the connection allows, local where it does not, and one view over everything

Repose moved the group onto Exceed HMS in its hybrid form. Each property runs the front desk locally, so check-in, billing and posting continue when the link drops, and synchronises with the cloud the moment the connection returns. The owner sees every property from one screen, on a laptop or on the mobile app, with group-level reports rolling up from the individual sites.

Rates, availability and corporate accounts are managed centrally and applied at each property, while every site keeps its own GST registration, invoice series and accounts. The group therefore got the central control it lacked without giving up the resilience that had originally driven it to offline software.

As someone who manages multiple properties, I was struggling with offline PMS systems. Exceed HMS came to the rescue with its robust offline capabilities. Now, I can manage everything efficiently. Truly a lifesaver!

The Outcome

"Now, I can manage everything efficiently"

The owner credits Exceed's "robust offline capabilities" with rescuing the operation and describes the result simply: everything can now be managed efficiently. Exceed does not publish operational or financial figures for any client without consent, so the outcome stands as stated.

For other operators in the North-East, in the hills or on rural highways, the lesson is the deployment model. A cloud-only PMS assumes a connection; a desktop PMS assumes isolation. A group with several properties and patchy links needs both at once, which is what a hybrid deployment provides.

Frequently Asked Questions

About this implementation

  • How does the offline capability actually work?

The front desk runs on a local instance at the property, so reservations, check-in, charges and bills continue during an outage. When connectivity returns the local data synchronises with the cloud, and the central view and reports update. Head office is never blind for longer than the outage itself.

  • Can each property in the group keep separate accounts?

Yes. Every property is a separate entity in the system with its own GST registration, invoice series and Tally company. Group reports roll the properties up for the owner without merging the statutory books.
