Stayflexi is the most talked-about newcomer in Indian hotel software: a Y Combinator-backed platform that sells rooms by the hour, wraps AI around guest messaging and pricing, and has a slick mobile app. Exceed HMS is the established operations platform running 2,000+ Indian properties with deep GST, Tally and F&B capability. They rarely lose to the same competitor, because they solve different problems. This comparison sets out what each hotel management software does best, where the costs really land, and which kind of hotel should choose which.
Stayflexi was founded in 2018 with a team split between San Francisco and Bengaluru, and went through Y Combinator. Its founding idea is that the noon-to-noon hotel night is outdated: every room and amenity should be sellable in flexible slots. Around that it has built a PMS, a 100+ OTA channel manager, a booking engine, an AI revenue manager, self check-in via a "magic link", AI guest messaging and review replies, and an automated night auditor. The company reports 5,000+ properties in 10+ countries.
Exceed HMS was founded in Kolkata and built for how Indian hotels actually run: single-screen check-in, restaurant and bar POS posting to the folio, banquet billing, GST slabs and state splits, Tally posting and Form C for foreign guests. It serves 2,000+ properties and 80,000+ rooms, and ships as cloud, on-premise or mobile-first editions.

Where the two platforms genuinely diverge once you get past the feature checklist.
Stayflexi sells hourly slots, split stays and custom check-in times as its core idea. Exceed handles day-use rates and early or late charges through rate plans, but is built for the conventional night with all the operations around it.
Exceed automates GST slabs by tariff, CGST/SGST/IGST splits, GSTR-1 exports, daily Tally posting and Form C filing. Stayflexi supports GST invoicing, but as a global product its public material does not cover Tally or Form C.
Exceed's restaurant POS is native and included: multi-outlet, KOT and kitchen display, bar, banquets, folio posting. Stayflexi lists POS as an add-on at $200 per property per month outside its top tier.
Stayflexi quotes in US dollars through a configurator, with paid add-ons for expenses, OTA messaging and reputation. Exceed publishes rupee pricing with POS and channel manager bundled, so the bill does not move with the exchange rate.
Stayflexi is cloud-only. Exceed runs in the cloud, on-premise or hybrid, so a resort in Manali, Jim Corbett or the Andamans keeps checking guests in when the connection drops.
Stayflexi promises 24/7 premium support and onboarding in under two days, much of it through in-app chat and its FlexiAI assistant. Exceed offers 24×7 phone support in Hindi, English, Bengali and Tamil plus on-site training.

Stayflexi's flex engine is real innovation, not a marketing line. An airport hotel near Delhi T3, a transit hotel beside Howrah station or a capsule property in Bengaluru can sell a room three times in 24 hours instead of once, and the PMS, booking engine and OTA feeds all understand the slot model. Stayflexi claims occupancy gains of up to 30% from this alone, and for the right property that is believable.
The AI layer is also further along than most Indian PMS vendors. Guest Assist answers WhatsApp and OTA messages automatically, the Reputation Manager drafts review replies with sentiment analysis, and the Night Auditor closes the day without a human. The mobile app for owners running several small properties is polished.
The trade-offs are the flip side of a global startup: dollar pricing, add-on fees for POS and messaging, cloud-only deployment, and thinner coverage of the compliance work an Indian accountant does every month.
Compliance without spreadsheets. Exceed assigns the GST slab from the actual tariff, applies 5% or 18% on F&B by hotel class, splits CGST/SGST against IGST from the guest's billing state, raises e-invoices for corporate and PSU accounts, exports GSTR-1 ready data and files Form C for foreign guests. Our GST billing guide covers each case.
Tally is the accountant's home. Daily room, F&B and banquet revenue post to Tally automatically, with city ledger, credit-card settlement and OTA commission accounting handled in the PMS. See hotel accounting software for India.
Full-service F&B and banquets. A 60-room hotel with a coffee shop, a bar and a 300-cover banquet hall needs KOT routing, a kitchen display, per-outlet GST and banquet advance billing. Exceed's hotel POS software does this natively, at no add-on cost, and posts every cover to the guest folio.
GST, Tally, Form C, native POS and the channel manager in one hotel software, priced in rupees. 14-day free trial, no credit card.
Stayflexi figures are from its public quote tool in September 2026 and will vary by region and negotiation. Exceed figures are from our published plans.
Stayflexi's example quote was about $200 a month on Accelerate, before POS. If hourly selling lifts occupancy as promised, that pays for itself. This is Stayflexi's home ground.
Add the POS at $200 per month and OTA messaging at $50 and the Stayflexi bill roughly doubles, still without Tally posting. Exceed's bundled rupee plan with native POS, GST and Tally comes in well below that with no exchange-rate risk.
Banquets, multi-outlet F&B, foreign guests needing Form C and patchy connectivity all point to Exceed's native modules and on-premise option. Stayflexi's cloud-only model and missing banquet module rule it out here.

Common questions about comparing Exceed HMS and Stayflexi
Stayflexi is built around flexible, slot-based stays. Instead of a fixed noon-to-noon night, it sells rooms by the hour, offers custom check-in slots and split stays, and uses AI pricing to fill rooms that would otherwise sit empty in the daytime. Exceed HMS covers day-use rates and early or late check-out charges through normal rate plans, but its core is full-service operations: front desk, restaurant POS, banquets, GST billing and Tally accounting.
Stayflexi's public pricing tool quotes in US dollars, with an India region option and three tiers called Growth, Accelerate and All-in-one. When we checked in September 2026 the example quote was about $200 per month for a 20-room property on Accelerate, with POS listed as a $200 per property per month add-on. Exceed HMS publishes rupee pricing on the pricing page with POS and channel manager included, so the monthly figure does not move with the exchange rate.
Exceed HMS. It assigns GST slabs from the room tariff, splits CGST/SGST/IGST by billing state, produces GSTR-1 ready exports, posts daily revenue into Tally and files Form C for foreign guests. Stayflexi supports GST invoicing but its public material does not describe Tally posting or Form C, because the platform was designed for a global customer base.
No. Stayflexi is a cloud-only platform. Exceed HMS is available as cloud, on-premise or hybrid, which matters for hill-station, wildlife and island resorts where the internet is unreliable and the front desk still has to check guests in. See our cloud vs on-premise guide.
If micro-stays are your business model — airport hotels, transit hotels near stations, capsule and pod hotels, or properties selling daytime rooms — Stayflexi's flex engine, AI guest messaging and self check-in are genuinely ahead. If you run a conventional hotel or resort with restaurants, banquets, corporate billing and a Tally-based accountant, Exceed HMS is the stronger, cheaper fit. See Exceed support details.
